What is a tailor-made holiday?

A tailor-made holiday is exactly what it sounds like: a trip designed around you rather than chosen from a brochure.

We don’t start with a fixed itinerary and ask you to fit into it. We start with a conversation. Tell us how you like to travel, what excites you, what you’d rather avoid, and what this holiday means to you. From there, we’ll build an itinerary from scratch.

Think of it like working with a good landscape designer. They won’t ask which plants you’d like to buy first. They’ll want to know how you use your garden, whether you love entertaining, if you prefer structure or something more natural, and how you want the space to feel. Only then do they begin designing it.

That’s how we work too.

Your travel specialist knows their destination first-hand and will help shape every part of the trip, from flights and hotels to guides, transfers and experiences. Love small boutique hotels? We’ll recommend the ones worth knowing. Prefer to avoid the busiest tourist spots? We’ll plan around them. Dreaming of a special experience that’s difficult to arrange on your own? Can you create an itinerary from scratch?

Absolutely. In fact, it’s our favourite way to work.

Many of our clients come to us with a destination in mind. Others simply know they want to get away and haven’t decided where. Both are a great place to start.

We’ll begin by talking about what you’re hoping to get from the trip. That might be wildlife, food, walking, beaches, culture, skiing, a big family celebration or simply switching off for a couple of weeks. From there, we’ll help narrow down the right destination before building an itinerary around your interests, pace and budget.

Some people know exactly what they want. Others need help working it out. Either way, we’ll guide you through the options and shape everything into a holiday that feels right for you.

Whether it’s a long weekend in Europe or a three-week expedition to Antarctica, we start with a blank sheet of paper and build from there.

I’ve seen your itineraries online, but they aren’t quite right. Can I change them?

Absolutely.

The itineraries on our website are there to inspire you and show what’s possible. They also give you a realistic idea of how a trip might flow and what it could cost. But they’re only ever a starting point.

In reality, very few people book one exactly as it’s written.

You might want to stay longer somewhere, swap a hotel, travel on different dates, add another destination or slow the pace down. That’s exactly what tailor-made travel is about.

Some clients simply want us to recommend the right hotels, organise the logistics and include a few memorable experiences along the way. Others enjoy planning every detail with us, right down to how they spend each day.

That’s the beauty of tailor-made travel. There isn’t a right or wrong approach.

If you’ve always dreamed of trekking to Everest Base Camp, we could arrange a private helicopter transfer at the beginning or end of your trek. In Egypt, we might organise early access to the Grand Egyptian Museum before it opens to the public. In Japan, perhaps it’s a private dinner with a geisha or a visit to a working sumo stable.

Do I have to know exactly what I want before I get in touch?

Many of the holidays we create involve several countries, different styles of accommodation, internal flights, private guiding or experiences that aren’t easy to price yourself. Until you start putting all the pieces together, it’s difficult to know what’s realistic.

That’s where we’ll help.

Tell us your ideas, even if they’re only half-formed. We’ll explain what’s possible, suggest different ways of approaching the trip and give you an honest indication of the budget you’d need.

Sometimes there are several ways to achieve the same experience at different price points. Other times, a small change to the route or the time of year can make a significant difference.

When is the best time to start planning?

The earlier, the better, but don’t let that put you off if your trip is just around the corner.

Planning well in advance gives you the widest choice of flights, hotels and experiences. For some destinations like Central and South America, particularly where there are small lodges or seasonal events, booking 12 months or more ahead can make a real difference.

Japan during cherry blossom season, Christmas safaris in East Africa and some of our favourite boutique lodges all tend to fill up well in advance.

That said, we create fantastic holidays at much shorter notice. So if you’ve left things later than planned, it’s always worth getting in touch. We’ll be honest about what’s possible and make the very best of the time available.

Do you include exclusive experiences?

Yes, wherever they genuinely add something to your holiday.

Over the years we’ve built relationships with trusted guides, hotels and local partners around the world. That means we can often arrange experiences that are difficult to organise independently, whether that’s visiting somewhere outside normal opening hours, spending time with local experts or accessing places that aren’t widely advertised.

Exclusive doesn’t always mean expensive, either.

One of our favourite examples is breakfast with monks in Bhutan. It’s a simple experience centred around a donation to the monastery, but it’s one that stays with people long after they return home.

The important thing isn’t that an experience is available only through us. It’s that it’s authentic, thoughtfully organised and right for you. We’d much rather recommend something meaningful than include something simply because it sounds impressive.

How does a privately guided holiday work?

Private guiding can work in different ways, depending on the destination and how you like to travel.

In some countries, you’ll have one guide travelling with you throughout your journey. In others, you’ll meet expert local guides at each destination, each bringing their own knowledge of the place they call home.

Either way, you’ll usually have your transfers and logistics taken care of, so moving between airports, hotels and experiences feels straightforward.

I don’t want to feel too restricted while I’m away. How does it work if I have a private guide?

The good news is that you’re always in control.

Some clients like a guide with them throughout their trip, while others only want one for a day or two in places where local knowledge really adds something. It’s entirely up to you.

I’m worried about overtourism. Can you recommend somewhere quieter?

Yes, and it’s something we’re increasingly talking to our clients about.

Sometimes that means suggesting a quieter alternative. Other times it means visiting a popular destination differently, whether that’s travelling outside the busiest months, staying in a less crowded area or simply choosing the right time of day to visit the places you’ve always wanted to see.

What makes booking through you different from organising it myself?

It’s a fair question, especially when so much travel can now be booked online.

The biggest difference is that you’re not just paying for bookings. You’re benefiting from the knowledge, support and protection that come with having experienced people looking after your holiday from start to finish.

Our experts have travelled extensively in the destinations they sell. They’ve stayed in the hotels, met the guides and understand the practical details that can make the difference between a good trip and a great one. They also know when somewhere that looks perfect online might not be the right fit.

You’ll also have the reassurance of travelling with an ABTA and ATOL protected tour operator. If flights are cancelled, hotels close unexpectedly or circumstances change before or during your holiday, we’re here to sort things out. You won’t be left trying to resolve everything yourself.

While you’re away, our local partners and your Ultimate travel specialist are there to support you if you need them. From your first enquiry until you’re home again, you’ll deal with someone who knows your itinerary inside out.

People often assume booking through a specialist travel company costs significantly more. In reality, we don’t charge a separate planning fee and, in some cases, our buying power means we can offer pricing that’s just as competitive as booking everything independently.

Could you organise your own holiday? Of course. Many people do. But if you’d rather spend your time looking forward to your trip than worrying about the planning, logistics and what happens if something goes wrong, that’s where we come in.

Aren’t you just a booking agent?

No. Booking your holiday is only one small part of what we do.

Think of it like going to a good restaurant.

A booking agent is a little like the waiter. They take your order and pass it on.

We’re much closer to the chef.

We design the holiday from the beginning, choosing the right ingredients, adapting things to suit your tastes and making sure every part works well together. Then we arrange it, support you before you travel and continue looking after you while you’re away.

What’s the difference between a travel agent and a tour operator?

A travel agent usually sells holidays created by other companies.

A tour operator, like us, designs and packages the holiday itself.

That means we’re responsible for bringing everything together, from flights and hotels to guides, transfers and experiences. It also means you benefit from the financial protection that comes with booking an ATOL and ABTA protected package.

In practice, the biggest difference you’ll notice is that you’ll work directly with the people designing your holiday rather than someone acting as an intermediary.

For a tailor-made trip, that direct relationship makes the whole planning process much more personal and much more flexible.

Can you create just one part of my holiday?

We’re always happy to have a conversation about it.

Our speciality is designing and looking after complete holidays because that’s where we can add the most value. When we arrange everything from flights and hotels to transfers and guiding, we can make sure the whole journey works seamlessly and is fully protected.

That said, many clients ask us to organise just one part of a wider trip. You might be using air miles for your flights, extending a business trip or adding a few days somewhere you’ve always wanted to visit.

If that’s the case, we’ll happily discuss what’s possible. We’ll also explain where our responsibility begins and ends, so you know exactly what’s covered.

I’ve already booked my flights. Can I still work with you?

Yes, absolutely.

Many of our clients arrive with flights already booked. Some have used airline miles, others found flights they were happy with before speaking to us.

We can build the rest of your holiday around those arrangements without any problem.

The only thing to be aware of is that booking flights as part of a package with us provides an additional level of ATOL protection. If you’ve arranged your own flights, there are certain situations where that protection won’t apply in the same way.

We’ll always explain this clearly before you book.

Whatever you’ve already arranged, our priority is helping you have the best possible holiday. If something unexpected happens while you’re away, we’ll still do everything we reasonably can to help.

Will I be dealing with the same person throughout?

Yes.

The person who plans your holiday is the same person who’ll look after you right up until you return home.

That continuity matters. Your specialist already knows why you’ve chosen the trip, how you like to travel and the details of your itinerary, so you won’t need to keep explaining everything to different departments.

If you have a question before you travel, you’ll speak to someone who already knows the answer.

What happens after I enquire?

Once you’ve been in touch, one of our specialists will arrange a time to talk through your plans.

After that conversation, we’ll begin putting together your itinerary and send it over for you to look through in your own time. We’ll then talk it through together, explain why we’ve recommended certain hotels and experiences, and make any changes you’d like.

There isn’t a limit to how many conversations we can have during the planning stage. We want you to feel excited and confident before making any decisions.

Only once you’re completely happy we will ask to take a deposit and start confirming everything.

Do you have a shop we can visit?

Yes. Our office is close to Fulham Broadway in London.

We’re not a traditional travel shop with brochures in the window. It’s a working office where our specialists plan holidays every day.

If you’d prefer to meet face to face, we’d be delighted to arrange a private appointment. We have a comfortable meeting space, plenty of coffee and always enjoy getting to know our clients in person.

I’ve worked out all the costs myself and it’s cheaper doing it myself. Why should I book through you?

Knowing roughly what you’d like to spend helps us recommend the right destinations, hotels and experiences from the start. It also means we can help you decide where it’s worth spending a little more and where you won’t notice the difference.

Sometimes we’ll suggest adjusting the pace of a trip, mixing different styles of accommodation or travelling at another time of year if it helps you get more from your budget.

We’ll always be honest if we think your expectations and budget don’t quite match, just as we’ll tell you if you’ve allowed more than you really need.

Our role is to help you make informed decisions, not to persuade you to spend more than you’re comfortable with.

We’re always happy to explain what’s included in your holiday, but we can’t usually provide a line-by-line breakdown of every individual component.

The reason is that many of our flights, hotels and ground arrangements are based on confidential contracted rates that can only be sold as part of a complete package. Those agreements are what allow us to create the holidays we do.

When comparing prices, it’s also worth remembering that you’re not simply buying flights and hotels. You’re benefiting from the planning, first-hand advice, financial protection and ongoing support that come with booking through a specialist tour operator.

We know that’s not as easy to compare as the price of a hotel room online, but it’s an important part of the value we provide.

What’s included in my holiday?

Every holiday is different, so what’s included will depend on the itinerary we’ve created together.

In most cases, we’ll arrange your accommodation, flights (if you’re booking them through us), transfers, transport within your destination, guiding and any experiences we’ve agreed as part of your trip. Wherever possible, we’ll also include costs that can be paid in advance, so there are fewer surprises once you’re away.

There are usually a few things that aren’t included, such as visas, travel insurance, tips and any personal spending, but we’ll always make this clear before you book.

When we send your proposal, you’ll see exactly what’s included, so you’ll know what to expect before making any decisions.

Do you charge for creating an itinerary or quotation?

No.

We’ll happily spend time getting to know what you’re looking for, researching ideas and putting together a tailored itinerary without charging a planning fee.

We see that as part of the service we offer.

We’ll refine the itinerary with you, answer your questions and make changes until you’re happy that it’s the right trip.

The only thing we ask is that if you decide to work with us, you’re doing so because you value the knowledge, care and support that go into planning your holiday, not simply because we’re providing a free quotation.

Do you have a loyalty scheme?

Not in the traditional sense.

We don’t have a points system or membership scheme, but many of our clients have travelled with us for years and continue to come back whenever they’re planning something new.

We’re a family business, and we believe loyalty should feel personal rather than transactional.

So while there isn’t a published rewards programme, we do like to surprise returning clients from time to time with thoughtful touches that simply feel right. We’d rather quietly look after people than make a big marketing campaign out of it.

Are we the right travel company for you?

We hope so, but we’re probably not the right fit for everyone.

If you’re simply looking for the cheapest flight or hotel, there are plenty of websites that can help you compare prices in a matter of minutes. That’s not really what we do.

When you’re happy, we’ll confirm all the arrangements and send you everything you need before you travel, including practical information about your destination and anything else that’s useful to know.

The same specialist who planned your holiday will continue looking after you right up until you return home, so you won’t be passed from one department to another. About a month before you travel, you’ll also have access to our travel app, where you’ll find your itinerary, travel documents and useful information for your trip.

A few days before you leave, we’ll check in to make sure everything’s in place. Then all that’s left for you to do is enjoy your holiday.
